Receipt capture

Snap a photo with your camera, pick from your photo library, or share directly from Photos, Safari, Mail, or Files using the Share Extension. Receipts are stored securely on-device and in iCloud.

Optional auto-fill

Every receipt field — vendor, date, totals, line items, category — is editable by hand. If you already use Google AI Studio, you can paste your personal Gemini key in Settings to skip typing. The integration is entirely optional and the app is fully functional without it.

GPS or odometer mileage

Start a trip with one tap and let GPS record your route in the background — or log past trips manually with start and end odometer readings. Either way, the app calculates your deductible at the current IRS or CRA rate. Duplicate any trip as a one-tap return leg with start and finish swapped.

IRS & CRA categories

Pre-loaded with US and Canadian tax categories, each with the correct deductible percentage. Tap to assign a category to any receipt or trip. Custom categories supported.

PDF & CSV reports

How does the free trial work?

You get 7 days of full, unrestricted access from the first time you open the app. No card, no auto-renew — when the trial ends, the app simply asks you to unlock with the one-time purchase if you want to keep using it. The trial countdown follows your Apple ID, so reinstalling or switching devices doesn't reset it.

Is this a subscription?

No. After the trial, E&M Tracker is a single one-time purchase — pay once and the app is yours forever, including future updates. There are no tiers, no monthly fees, and nothing renews automatically.

Can I use it on all my devices?

Yes. The purchase unlocks the app on every iPhone and iPad signed into the same Apple ID. It also supports Family Sharing, so the people in your Apple Family can use the same purchase. If you get a new device, just install the app and tap Restore Purchase in Settings.

Do I need an API key to use the app?

No. The app is fully functional without one — every receipt field is editable by hand, and mileage, reports, and exports work for everyone. The optional Gemini integration is for users who already use Google AI Studio and want to skip manual data entry on receipts.

Which tax jurisdictions are supported?

Both US (IRS standard mileage rate) and Canada (CRA per-km rate with the 5,000 km tier) are fully supported. You can mix jurisdictions across expenses in the same account.

Is my data private?

All data is stored on your device and in your private iCloud container. Receipt images are only sent to Google when you tap "Auto-fill from image" with your own Gemini key configured. We have no access to your data.

Can I track multiple businesses?

Yes. Create multiple companies in Settings. Each company has its own default jurisdiction and currency. Expenses are tagged per company, and reports can be filtered by company.

Overview

E&M Tracker ("the App") is developed by EI Systems. We built the App on a simple principle: your financial data belongs to you. This policy explains what data the App collects, how it is used, and your rights.

Receipt Images

Receipt photos you capture or import are stored locally on your device using SwiftData and, if you have iCloud enabled, in your private iCloud container via CloudKit. Images are never uploaded to our servers.

Optional Receipt Auto-fill

The app includes an optional integration with Google's Gemini API for users who already have a personal Google AI Studio account. If you choose to paste your own API key in Settings and tap "Auto-fill from image" on a receipt, that single receipt image is sent directly from your device to Google. We do not operate any server in this path, do not have access to your API key, and do not see any data you send to Google. Google's use of this data is governed by their own privacy policy. The integration is entirely optional and the app is fully functional without it.

Location Data

The App uses CoreLocation to record your GPS route during active mileage trips. Location data is collected only while a trip is in progress and is stored on your device and in iCloud. Location is never transmitted to our servers or any third party.

Exchange Rates

The App periodically fetches currency exchange rates from frankfurter.app (a public, open-source API) to convert multi-currency expenses in reports. No personal data is included in these requests.

iCloud Sync

If you have iCloud enabled, all app data (receipts, trips, categories, settings) syncs to your private iCloud container via Apple's CloudKit. Apple's iCloud privacy policy governs this storage. We cannot access your iCloud data.

Free Trial & One-Time Purchase

The app records the start date of your 7-day free trial in your device's iCloud Keychain so the countdown follows your Apple ID across devices and reinstalls. This timestamp never leaves your device or Apple's iCloud services. When you choose to unlock the app, the purchase is processed by Apple's StoreKit; we do not see, store, or transmit any payment information.

Report Email

If you provide a report email address in Settings, it is stored locally on your device. We do not transmit this address to any server.

What We Do Not Collect

  • We do not collect analytics, crash reports, or usage telemetry.
  • We do not operate servers that receive or store your app data.
  • We do not use advertising networks or third-party SDKs.
  • We do not sell, share, or monetize any data.

Third-Party Services

  • Google Gemini API — Optional. Invoked only when you tap "Auto-fill from image" with your own personal API key configured in Settings.
  • Apple CloudKit — Used for private iCloud sync. Governed by Apple's privacy policy.
  • frankfurter.app — A public API for exchange rates. No personal data is sent.
  • Apple StoreKit — Used to process the one-time E&M Tracker Pro purchase that unlocks the app after the 7-day free trial. Payment, receipts, refunds, and Family Sharing are all handled by Apple under their App Store terms; we receive no payment details.

Data Retention and Deletion

You control your data entirely. You can delete individual receipts and trips at any time from within the App. The Settings screen includes a "Purge old data" function that permanently removes records older than your chosen retention window. Deleting the App removes all local data.

Children's Privacy

The App is not directed at children under 13 and does not knowingly collect personal information from children.

We may update this policy from time to time. The "Last updated" date at the top reflects the most recent revision.
